Frequently asked questions

These are the questions many Hungarian entrepreneurs in Austria carry around with them

They just do not dare ask, because it feels embarrassing not to know the answer. But it is not. Here you can read it all at your own pace.

Glossary

Commonly used Austrian technical terms — explained clearly.

UVA[Umsatzsteuer-Voranmeldung]

The VAT return, which has to be filed regularly and on time with the Finanzamt.

Finanzamt[The Austrian tax authority]

This is where we file the tax returns, the UVA and the other notifications. If a letter arrives from them, I explain in Hungarian what it is about, and handle in German whatever needs handling.

Lohnverrechnung[Payroll]

Every month I prepare the payroll: net from gross, the deductions and the contributions.

Questions and answers
I have just started a business in Austria — what is the first thing to do about bookkeeping?

That depends on the form your business takes and what you actually do, so I will not give you a general recipe — that would be exactly the kind of half-truth that causes trouble later on. What is certain: keep every invoice and receipt from day one, even if you do not yet know whether you will need it. In the free consultation we go through your situation together, and I will tell you exactly what you need to file regularly and what you should be collecting.

What does UVA mean, and why does it matter?

The UVA (Umsatzsteuervoranmeldung) is the VAT return: this is where your business declares to the Finanzamt the VAT it has charged and the VAT it can deduct, and it has to be filed regularly and on time. It matters because it is an official obligation with a deadline — not something in the “one of these days” category. If I handle your bookkeeping, I prepare and file the UVA, so there is nothing for you to do.

I missed a deadline. What happens now?

First of all: putting it off any longer will not make it better — sorting it out will. Call me or write to me, let us look together at exactly what was left undone, and take care of whatever can still be made up. I will not tell you off and I will not try to frighten you: I am here so that you come out of a situation like this as calmly as possible.

I would like to hire an employee — what has to be registered?

A new employee has to be registered, and there is a strict deadline for it; on top of that, as an employer you will also need a Beitragskontonummer (a contribution account number) and a proper employment contract. It sounds like a lot at first, but in practice it is simple: you let me know in good time who is starting and when, and I take care of the rest. Payroll and employment matters

How does working together go? What do I need to send you?

At the start we go through your situation in a free consultation, after which you receive a personalised quote. If we work together, this is your part: you hand over the documents regularly — invoices, receipts, bank statements — and we agree on the way of doing it that suits you best. From then on the bookkeeping, the filings and the dealings with the authorities are on my desk, and if there is anything you do not understand, you ask — in Hungarian.

How much does it cost?

I do not have a standard price list, because no two businesses are alike: handling a sole trader's quarterly paperwork is different work from doing the books of a small company with employees. That is why every client of mine gets a personalised quote — after the free consultation, once I can see exactly what you need. You decide with the quote in front of you, and until then nothing commits you.

Can I handle my Austrian affairs with you in Hungarian?

Yes — that is exactly the point. With me you speak Hungarian: you tell me in Hungarian what the situation is, and you get every technical term explained in Hungarian. Towards the authorities your affairs go in German, but that is my job, not yours.

Can I get tax advice as well?

No — and it is better that you hear it from me rather than find out along the way. In Austria, comprehensive tax advice is reserved for the Steuerberater, and I work as a selbständige Bilanzbuchhalterin. What you get from me: bookkeeping, UVA, Lohnverrechnung, dealings with the Finanzamt, and your business documents. If your question calls for a Steuerberater, I will tell you so honestly.

Did not find your question?

Write to me, I am happy to answer! There is no such thing as a stupid question: whatever is unclear to you, we will talk it through until it is clear. Every business is different — and so are the solutions. Send an email
